1. Introduction & Acceptance

• 1.1 These Terms & Conditions (“Terms”) govern your use of the Tech Summit website, registration for events, purchase of tickets or passes, and participation in any Tech Summit event.

• 1.2 Tech Summit is operated and legally represented by Tech Jobs Fair GmbH, and all agreements, registrations, and transactions are made with Tech Jobs Fair GmbH as the official legal entity.

• 1.3 By accessing our website, registering for events, purchasing tickets/passes, or attending an event, you agree to comply with and be bound by these Terms.

• 1.4 If you do not agree with any part of the Terms, you must not use the website or attend our events.

2. Definitions

In these Terms:

• 
  “We”, “Us”, “Our” refers to Tech Summit, operated by Tech Jobs Fair GmbH and its affiliates.
• 
  “You”, “Your”, “User”, “Attendee” refers to any person using the website or attending an event.
• 
  “Event” refers to any conference, exhibition, summit, networking session, or activity organized by Tech Summit.
• 
  “Ticket / Pass” refers to any admission, registration, or access credential for an Event.
• 
  “Services” refers to all services offered through our website and at Events, including registration, ticketing, content access, matchmaking, networking platforms, exhibitor or sponsor services.
• 
  “Content” refers to text, images, videos, presentations, and other materials provided via the website or during the Event.

3. Website & Registration Use

• 3.1 Eligibility — You must be of legal age and legally capable of entering agreements to use the website and register for Events.

• 3.2 Accuracy of Information — You agree to provide accurate, complete, and up-to-date information during registration. You are responsible for maintaining the confidentiality of your account credentials.

• 3.3 Prohibited Uses — You must not misuse the website or services, including hacking, unauthorized access, scraping, transmitting harmful code, impersonation, or fraudulent behavior.

• 3.4 Account Security — You are responsible for all activity under your account. Notify us immediately if you suspect unauthorized access or breach.

4. Ticketing, Payment & Registration

• 4.1 Ticket Types — We may offer multiple ticket categories (General Admission, VIP, Exhibitor, Speaker, etc.), each with unique benefits and limits.

• 4.2 Pricing & Payment — Ticket prices and payment methods are listed during registration. You must complete payment (when applicable) to confirm your registration.

• 4.3 Confirmation — After successful payment or approval, you will receive a confirmation email with your ticket/pass details.

• 4.4 Ticket Use — Tickets/passes are valid only for the specific Event and date. Tickets are generally non-transferable, unless explicitly permitted. Valid ID may be required for entry.

5. Cancellations & Refunds

• 5.1 Attendee Cancellation — If you wish to cancel your registration or ticket, contact us at the earliest. Refunds (if applicable) depend on the ticket type and cancellation policy communicated during registration.

• 5.2 Organizer Cancellation — If Tech Summit cancels an Event, you will be notified promptly and offered either a full refund or a ticket transfer to a future event. We are not responsible for travel or accommodation expenses incurred by you.

• 5.3 Event Changes — Tech Summit reserves the right to modify event dates, locations, formats, speakers, or agenda without prior notice. Minor changes do not entitle attendees to refunds. Major changes may be reviewed on a case-by-case basis.

• 5.4 No-Show Policy — No refunds will be issued if you fail to attend an Event after confirming attendance or purchasing a ticket.

6. Code of Conduct & Event Participation

• 6.1 Professional Conduct — All attendees must behave respectfully, professionally, and inclusively. Harassment, discrimination, offensive behavior, disruptive conduct, or violence of any kind is strictly prohibited.

• 6.2 Compliance with Venue Rules — You must follow all venue rules, security instructions, health and safety protocols, and event staff guidance.

• 6.3 Removal from Event — Tech Summit reserves the right to refuse entry, remove, or ban any attendee who violates the Code of Conduct, engages in inappropriate behavior, or poses a safety risk. No refunds will be provided in such cases.

• 6.4 Attendance Tracking — Badge scanning, digital check-ins, or other methods may be used to track attendance, manage entry, and facilitate networking.

7. Networking, Matchmaking & Data Sharing

• 7.1 Networking Features — Tech Summit may provide digital or physical networking tools, matchmaking services, exhibitor interactions, or attendee directories.

• 7.2 Data Sharing with Exhibitors/Sponsors — By attending the Event, you consent to your basic contact details (name, job title, company, email) being shared with exhibitors, sponsors, or partners whose booths you visit or whose sessions you attend, through badge scans or opt-in interactions.

• 7.3 Opt-Out — You may opt out of certain data-sharing activities during registration or on-site. However, opting out may limit your access to certain networking features.

8. Photography, Recording & Content Use

• 8.1 Event Photography & Videography — By attending the Event, you consent to being photographed, filmed, or recorded. Tech Summit may use such media for promotional, marketing, or documentation purposes across all channels (website, social media, newsletters, etc.).

• 8.2 No Removal After Publication — Once photos or videos are published, removal or deletion is not possible.

• 8.3 Recording by Attendees — Attendees may not record, live-stream, or broadcast event sessions without prior written permission from Tech Summit and the respective speakers.

• 8.4 Intellectual Property — All content presented at the Event (slides, presentations, materials) remains the property of the respective speakers, exhibitors, or Tech Summit. Unauthorized distribution is prohibited.

9. Privacy & Data Protection

• 9.1 GDPR Compliance — Tech Summit processes personal data in accordance with GDPR and applicable data protection laws. For full details, refer to our Privacy Policy.

• 9.2 Data Usage — Your data is used for event administration, communication, promotion, matchmaking, networking, analytics, and improving our services.

• 9.3 Third-Party Sharing — Your data may be shared with service providers (ticketing platforms, badge printing, event apps), exhibitors/sponsors (with your consent or opt-in), and legal authorities (if required by law).

• 9.4 Data Retention — Your data will be retained for the duration necessary to fulfill event-related purposes and legal obligations, typically 2–3 years after the event.

10. Limitation of Liability

• 10.1 No Guarantees — Tech Summit does not guarantee uninterrupted event operations, specific networking outcomes, matchmaking success, content accuracy, or attendee experience quality.

• 10.2 Exclusion of Liability — Tech Summit, its partners, sponsors, and affiliates shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from your attendance, including loss of business, revenue, data, opportunity, or reputational harm.

• 10.3 Personal Belongings — You are solely responsible for your personal belongings. Tech Summit is not liable for loss, theft, or damage to personal property.

• 10.4 Force Majeure — Tech Summit is not liable for failure to perform due to circumstances beyond its reasonable control (natural disasters, pandemics, government restrictions, venue issues, strikes, or technical failures).

• 10.5 Insurance — Attendees are encouraged to obtain appropriate personal insurance (travel, health, liability) if required.

11. Intellectual Property

• 11.1 Event Content — All content on the Tech Summit website, event materials, branding, and presentations is owned by Tech Summit, its speakers, or licensors, and is protected by intellectual property laws.

• 11.2 Prohibited Uses — You may not copy, reproduce, distribute, modify, or create derivative works from Event content without prior written permission.

• 11.3 User-Generated Content — If you submit content (comments, questions, feedback), you grant Tech Summit a royalty-free license to use, display, and distribute it.

12. Indemnification

• 12.1 You agree to indemnify and hold harmless Tech Summit, its affiliates, partners, officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from your violation of these Terms, your conduct at the Event, or your breach of any law or third-party rights.

13. Governing Law & Dispute Resolution

• 13.1 Applicable Law — These Terms are governed by and construed in accordance with German law, excluding the UN Convention on Contracts for the International Sale of Goods.

• 13.2 Jurisdiction — Any disputes arising from these Terms or your participation in Tech Summit events shall be subject to the exclusive jurisdiction of the courts in Berlin, Germany.

• 13.3 Informal Resolution — Before initiating legal proceedings, we encourage you to contact us at legal@techsummit.com to resolve disputes informally.

14. Amendments & Modifications

• 14.1 Tech Summit reserves the right to modify these Terms at any time. Changes will be effective upon posting on our website. Your continued use of the Services after changes constitutes acceptance.

• 14.2 Material changes will be communicated via email or website notice.

15. Severability

• 15.1 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect. Invalid provisions will be replaced with legally permissible equivalents serving a similar purpose.
