1. Definitions
1.1 “Event” refers to any edition of Tech Summit organised by Tech Jobs Fair GmbH or its partners.
1.2 “Moderator” refers to an individual facilitating a panel discussion, fireside chat, roundtable, or similar format.
1.3 “Session” refers to any panel, fireside chat, roundtable, or moderated discussion included in the event agenda.
1.4 “Materials” refer to optional guiding notes, questions, or content submitted by the Moderator.
1.5 “Community Partner” refers to associations, communities, groups, or networks collaborating with Tech Summit for mutual promotion and visibility.
2. Role & Participation
2.1 The Moderator agrees to facilitate the assigned Session(s) as confirmed by Tech Summit.
2.2 Responsibilities include guiding discussion, ensuring equal participation, and maintaining the session flow.
2.3 Tech Summit may adjust timing, panel lineup, or format if required.
2.4 Communication Protocol
- All official communication regarding session details, technical requirements, or event updates must be conducted through Tech Summit’s designated team or communication channels.
- Moderators should not independently negotiate session changes or commitments without Tech Summit approval.
3. Content & Materials
3.1 Moderators may be asked to submit talking points or questions before the event.
3.2 Materials must be original or properly credited if applicable.
3.3 Tech Summit may request adjustments to maintain topic relevance.
3.4 Tech Summit retains ownership of any materials specifically created by the organizer for the Moderator’s session.
3.5 Moderators must maintain the confidentiality of any sensitive session content, discussion points, or attendee information they may access. Such information may not be shared with third parties without prior written consent.
3.6 Moderators should maintain neutral and balanced perspectives in discussions, avoiding promotion of specific products, services, or organizations unless explicitly approved for the session.
4. Promotion & Visibility
4.1 The Moderator grants Tech Summit permission to use their name, photo, title, and company name for event-related promotion.
4.2 Tech Summit may promote Moderator participation across websites, social media, brochures, press releases, and newsletters.
4.3 For promotion within the moderator’s network, Tech Summit will provide the required materials.
5. Event Recording & Usage Rights
5.1 Tech Summit may record moderated sessions in audio, video, and photographic formats.
5.2 The Moderator grants a non-exclusive, royalty-free license for Tech Summit to edit and use recordings for promotional or informational purposes.
5.3 Tech Summit will not sell content to third parties without written consent.
6. Schedule, Access & Technical Requirements
6.1 Moderators must follow the event schedule and be present on time.
6.2 Any special technical requirements should be communicated beforehand.
6.3 If applicable – For virtual sessions, the Moderator is responsible for ensuring stable internet and proper audio/video quality.
7. Travel & Accommodation
7.1 If applicable, Moderators are responsible for their own travel and accommodation.
7.2 If applicable, any hospitality or reimbursements will be communicated and confirmed in writing.
7.3 Reimbursements are subject to prior approval and submission of supporting documentation as required.
8. Conduct & Professional Standards
8.1 Moderators must ensure respectful, balanced, and inclusive dialogue.
8.2 Offensive, discriminatory, or inappropriate behaviour or content is prohibited.
8.3 Tech Summit may replace a Moderator in the event of misconduct or unsuitability.
8.4 Moderators must disclose any potential conflicts of interest that could affect impartiality or credibility in session discussions. Failure to disclose relevant conflicts may result in reassignment or removal from the session.
8.5 Moderators are required to comply with all Tech Summit policies, venue regulations, and safety guidelines. Non-compliance may result in removal from the event or restrictions on session participation.
9. Cancellation & Substitution
9.1 The moderator may withdraw from participation up to 30 days before the event.
9.2 If a Moderator withdraws within 30 days of the event, they must provide a suitable replacement within 7 days from the date of withdrawal, subject to Tech Summit’s approval.
9.3 If the Moderator is unable to provide a replacement within the 7-day period, Tech Summit reserves the right to remove the Moderator from the agenda and reassign the session as needed.
9.4 Tech Summit may adjust the agenda or scheduling for operational or program-related reasons.
10. Liability
10.1 Tech Summit is not liable for delays, venue issues, or technical disruptions outside its control.
10.2 Moderators are responsible for the accuracy and appropriateness of content they introduce or reference.
11. Acceptance
11.1 Confirmation via email, message, registration form, or digital acceptance constitutes agreement to these Terms & Conditions.
11.2 These terms apply to all Tech Summit editions unless a separate written agreement supersedes them.
12. Attire Guidelines
12.1 Moderators are expected to dress in a manner that aligns with the professional standards of the event.
12.2 While there is no strict dress code, attire should be clean, presentable, and appropriate for a technology-focused summit.
12.3 Clothing that is overly casual, distracting, or unprofessional is not permitted.
12.4 Moderators are encouraged to choose outfits that are comfortable yet reflect the dignity and professionalism of the Tech Summit.
