1. Definitions

1.1 “Event” refers to any edition of Tech Summit organised by Tech Jobs Fair GmbH or its partners. -
1.2 “Speaker” refers to the individual participating in the event as a keynote speaker, panel speaker, workshop presenter, or similar role. -
1.3 “Session” refers to any keynote, panel, workshop, fireside chat, or presentation included in the event agenda. -
1.4 “Materials” refer to presentation files, slides, documents, videos, or other content provided by the Speaker. -
1.5 “Community Partner” refers to associations, communities, groups, or networks that collaborate with Tech Summit for mutual promotion and visibility with or without commercial obligations.
2. Role & Participation

2.1 The Speaker agrees to participate in the assigned Session(s) as confirmed by Tech Summit.

2.2 Tech Summit reserves the right to adjust session format, timing, or lineup if required.
3. Content & Materials

3.1 Materials must be original or properly credited.

3.2 Final Materials (if required) must be submitted at least 30 days prior to the event.

3.3 Tech Summit may request reasonable adjustments for relevance or quality.

3.4 The Speaker retains ownership but grants Tech Summit usage rights as defined.
4. Promotion & Visibility

4.1 The Speaker grants Tech Summit permission to use their name, photo, title, company name, and Materials for event-related promotion.

4.2 Tech Summit may use Speaker information across websites, social media, brochures, newsletters, and press releases.

4.3 Promotion within the Speaker’s own network is optional but encouraged.
5. Event Recording & Usage Rights

5.1 Tech Summit may record the session in audio, video, and photographic formats.

5.2 The Speaker grants a non-exclusive, royalty-free license for Tech Summit to edit and use recordings for promotional or informational purposes.

5.3 Tech Summit will not sell content to third parties without written consent.
6. Schedule, Access & Technical Requirements

6.1 The Speaker must adhere to the event schedule and join their Session on time.

6.2 Any technical needs should be communicated 30 days in advance.

6.3 For virtual sessions, stable internet and proper audio/video quality are the Speaker’s responsibility.
7. Travel & Accommodation

7.1 Unless agreed in writing, Speakers are responsible for their travel and accommodation.

7.2 Any reimbursements or hospitality (if applicable) will be confirmed in writing.
8. Conduct & Professional Standards

8.1 The Speaker must maintain a respectful, professional, and inclusive tone.

8.2 Discriminatory, offensive, or inappropriate behaviour or content is prohibited.
-
8.3 Tech Summit may replace or remove a Speaker due to misconduct or unsuitable content.
9. Cancellation & Substitution
-
9.1 A Speaker may withdraw from participation up to 30 days before the event.

9.2 If a Speaker withdraws within 30 days of the event, the Speaker must provide a suitable replacement within 7 days from the date of withdrawal, subject to approval by Tech Summit.

9.3 If the Speaker is unable to provide a replacement within the 7-day period, the Speaker must bear a replacement fee ranging between €200–€500, depending on the session type and urgency.

9.4 Tech Summit reserves the right to adjust the agenda or scheduling for operational or program-related reasons.
Important: Replacement fees of €200–€500 may apply if withdrawal occurs within 30 days of the event and no suitable replacement is provided within 7 days.
10. Participation Fee & Payment Terms

10.1 Any fee or payment related to participation must be discussed and mutually agreed via email prior to confirmation or before the submission of required details.

10.2 The Speaker must comply with the agreed payment terms as communicated by the Tech Summit team.

10.3 Non-payment may result in removal from the agenda or cancellation of participation.

10.4 No refunds will be issued after confirmation unless mutually agreed in exceptional circumstances.
11. Liability

11.1 Tech Summit is not liable for delays, venue issues, or technical disruptions beyond its control.

11.2 The Speaker is responsible for ensuring the accuracy and legality of their content.
12. Acceptance

12.1 Confirmation via email, message, registration form, or digital acceptance constitutes agreement to these Terms & Conditions.

12.2 These terms apply to all Tech Summit editions unless superseded by a separate written agreement.

12.3 Submission of speaker details does not guarantee a session slot. All submissions remain subject to final confirmation by Tech Jobs Fair/Tech Summit based on slot availability at the time of review.

12.4 If details are submitted after the initial discussion or after significant delay, Tech Jobs Fair reserves the right to decline participation if no suitable session slots remain.
